Scott Fox Insurance ("we," "our," or "us") is an independent insurance brokerage based in Santa Ana, California. We serve clients throughout Orange County and Los Angeles County, California, and in additional states where we are properly licensed.

This Privacy Policy explains how we collect, use, share, and protect your information when you visit our website, submit a form, schedule an appointment, or communicate with us.


1. Information We Collect

Information you provide directly

  • Name

  • Phone number, including mobile number

  • Email address

  • Mailing address

  • Date of birth

  • Medicare number or other insurance identifiers

  • Information submitted through forms, scheduling tools, or contact requests

Health and medical information

Because we assist with Medicare and health insurance, we may collect:

  • Prescription medications and dosages

  • Treating physicians, specialists, and preferred hospitals

  • Preferred pharmacies

  • Health conditions relevant to plan eligibility or benefit comparison

This is treated as confidential medical information. See Section 2.

Information collected automatically

  • IP address

  • Browser type and version

  • Device information

  • Pages visited, time on site, and referring URL

  • Cookie and tracking identifiers (see Section 9)


2. Health and Medical Information

Medical information receives heightened protection under California's Confidentiality of Medical Information Act (CMIA, Civil Code §56 et seq.) and, where applicable, the federal HIPAA rules.

How we use it. Only to compare plan options, verify network and formulary fit, and complete enrollment and ongoing service on your behalf.

Who we share it with. Insurance carriers and their authorized enrollment platforms, solely for quoting, enrollment, and servicing your coverage. We do not share medical information for marketing or promotional purposes, and we do not sell it.

How it is protected. Access is limited to personnel and systems that require it to serve you. Where we act as a business associate of a Medicare Advantage or Part D plan, we handle protected health information under the terms of our agreements with those carriers.

Please do not send health conditions, diagnoses, or medication details through open website form fields, email, or text message. Those channels are not encrypted. We will collect that information securely during your appointment or through a secure enrollment platform.


3. How We Use Your Information

  • Respond to your inquiries

  • Prepare insurance quotes and plan comparisons

  • Schedule and conduct appointments

  • Complete enrollment and provide ongoing policy service

  • Send information you requested

  • Send marketing communications, only where you have separately opted in (see Sections 4 and 5)

  • Comply with legal, regulatory, and carrier requirements, including CMS recordkeeping obligations

  • Improve our website and services

We do not sell your personal information.


4. Text Messaging (SMS)

We send two distinct categories of text message, and they rest on different permissions.

Transactional messages — appointment confirmations, reminders, reschedules, and responses to your direct questions. These are sent because you provided your number in connection with that request.

Marketing messages — plan updates, enrollment period reminders, newsletters, and promotional content. These are sent only to individuals who have affirmatively opted in by checking the consent box on our forms. Consent to receive marketing communications is not a condition of scheduling an appointment, obtaining a quote, or purchasing any insurance product.

Message frequency varies. Message and data rates may apply. Marketing messages may be sent using automated technology.

You may opt out at any time by replying STOP. For assistance, reply HELP, or call 310-504-6223 or email [email protected].

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5. Email Communications

We may send you information you requested, appointment confirmations, and service communications related to your coverage.

Marketing and promotional email is sent only to individuals who have opted in to receive it. Every marketing email includes an unsubscribe link. We honor unsubscribe requests promptly and no later than ten business days after receipt.

Our physical mailing address appears in Section 15 and in every marketing email we send.


6. Information Sharing

We may share your information with:

  • Insurance carriers and their enrollment platforms, for quoting, underwriting, enrollment, and policy service

  • Service providers who help operate our business, under contractual confidentiality obligations. These currently include GoHighLevel (customer relationship management and communications), NowCerts (agency management), and Integrity Marketing Group / PlanEnroll (Medicare plan comparison and enrollment)

  • Regulatory authorities, where required by law, including the California Department of Insurance and the Centers for Medicare & Medicaid Services

We do not sell or rent personal information.

Text messaging opt-in data and consent records are excluded from all sharing described in this section. That information is not shared with any third party, including the service providers named above, for any marketing or promotional purpose.


7. Data Retention

We retain personal information for as long as needed to serve you and to meet legal, regulatory, and carrier requirements.

When information is no longer needed, we dispose of it securely.


8. Data Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, with additional controls applied to medical information.

No method of internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security.

Coverage cannot be bound, altered, or confirmed through this website, email, voicemail, or text message.


9. Cookies, Tracking, and Advertising Technologies

Our website uses cookies and similar technologies, which may include:

  • Essential cookies required for the site and scheduling tools to function

  • Analytics tools that measure traffic and site performance

  • Advertising and conversion technologies, which may include the Meta pixel, Google Ads conversion tracking, and similar tools from platforms where we advertise

These technologies may collect your IP address, device information, pages viewed, and actions taken, and may associate that activity with an advertising profile held by the platform.

You may disable or delete cookies through your browser settings. Some site features may not function correctly if you do.


10. Do Not Track Signals

Some browsers transmit a "Do Not Track" signal. There is currently no industry or legal standard governing how operators must respond to these signals.

We do not currently respond to Do Not Track browser signals. If a uniform standard is adopted, we will update this Policy accordingly.


11. Third-Party Tracking Across Websites

Third parties, including the analytics and advertising providers described in Section 9, may collect personally identifiable information about your online activities over time and across third-party websites when you use our site.

We do not control that collection. Your options include your browser's cookie and tracking settings, your advertising preferences with those platforms, and industry opt-out tools such as the Digital Advertising Alliance and Network Advertising Initiative opt-out pages.


12. Third-Party Links

This website contains links to third-party sites, including our plan comparison and scheduling tools. We are not responsible for the content, security, or privacy practices of those sites. Review their policies before submitting information.


13. California Privacy Rights

California residents may:

  • Request information about the categories of personal information we have collected

  • Request access to the specific information we hold about them

  • Request correction of inaccurate information

  • Request deletion, subject to legal and regulatory retention requirements

To make a request, contact us using the information in Section 15. We will verify your identity before responding.

Certain records — including Medicare enrollment records and recorded sales calls — are subject to mandatory retention periods and cannot be deleted on request.

We do not sell or share personal information as those terms are defined under California privacy law.


14. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the revised version on this page and update the Effective Date and Last Updated date above.

If we make material changes to how we collect, use, or share personal information, we will provide notice by posting a conspicuous notice on our website for at least 30 days and, where we hold your email address, by email.

Your continued use of the website after changes take effect constitutes acceptance of the revised Policy.
